What information does ATS consider when providing my free quote?

For each project that ATS handles, we consider several different factors when it comes to providing your free quote. We will consider the project type or service you request, the source and target languages of your project, and the timeline in which the project needs to be completed. No matter what project you need handled, ATS will be sure to offer you the most competitive rates possible while taking these items into consideration.

A legal document should be handled differently than a technical operating manual and ATS takes project type into account. Since these two areas are so distinct, we have teams of different linguists who work on each one. It is important that our linguists be highly specialized in the content area you request. We have a wide array of linguists with many specialties, so doing so is usually not a problem. If we do not have a specialist in your project’s subject area, ATS will work to recruit someone who is able to handle your project type.

We also take source and target languages into consideration. Language combinations that are more rare sometimes require us to charge higher rates than some of the more common language combinations, for example.

ATS also takes your desired/needed timeline into consideration when providing your free quote. A job that does not need to be returned immediately, and will not rush the linguists who are working on the project for you, will not require any additional fees. However, if the project turnaround time will require our linguists to work overtime-type hours to finish it within the desired timeline, we may need to add rush fees to the quote. You will have the chance to accept the fees or change the timeline of the project.

Interpreting is quoted differently than document translation, since the services require a different set of skills. Similar to translation, however, the type of interpreting service needed will also be something ATS considers when providing your quote. Interpreting for a surgery is handled differently than interpreting for a legal deposition, for example. ATS offers varying types of interpreting services, such as in-person or over-the-phone interpreting. We also take source and target languages into account, just as we do for document translation, as well as the time required for our interpreter to be available. If an interpreter needs to be available for longer than a normal working period, we may need to charge additional fees.

When translating marketing materials makes sense for your company

If your company uses marketing materials to reach potential customers, you may have already considered translating these materials into other languages, and wondered what the benefits could be for your company if you do so. Deciding whether or not translating these materials would benefit your company is a big decision, and we understand it may not be something you take lightly. There are a few things to keep in mind when making this decision:

-        Who is your target market? If your business is located in an area with a larger population of Limited English Proficient (LEP) speakers, it may make sense to target this demographic as potential customers. Translating marketing materials into a customer’s native language can help the customer feel appreciated and also help him or her fully understand your business. A customer who does not understand your advertisements is less likely to feel engaged with your brand. According to the 2010 Census, 12.4% of Americans speak Spanish as their main language, 3.7% speak other Indo-European languages, and 3% speak Asian and Pacific languages. Take a look at the US Census for further detail as to language use in your specific area. This is a great tool to help determine the need for translated materials and what languages make the most sense for your company.

-        How does it fit into your budget? Although translating your marketing materials may seem like an unnecessary cost up front, especially if you have a large number of materials to translate, it could easily mean a full return on your investment (and then some) in a short amount of time. If your translations help to attract new clients, it will earn your company new business. If these customers feel appreciated and fully understand how your business works, they will be more likely to become repeat customers, which is wonderful news for your bottom line. Moreover, you may not need to translate all of your materials at once. Prioritize those that will be most effective for this target market. Other materials can always be translated at a later date.

Which file format should you use when requesting translation?

When looking into having a document translated for your company, it is important to let your translation vendor know which file format you and your team prefer to use. Although certain formats are easier for translation agencies to use when preparing your quote or performing the translation, the agency should be well equipped to translate from and into the file format of your choice. However, to save both you and the vendor time and money, delivering your source document in certain file formats could make things simpler for both sides. For your file to be translatable without additional steps, it is best for the agency to have an editable format available when possible, such as Word, Excel, PowerPoint or InDesign documents. This will help allow the agency to render a more accurate translation quote, and the translator, editor and proofreader will be able to work from the source document easily.

If your team provides the agency with a non-editable document, such as a PDF or a scanned photo (JPEG, for example), the agency may have to use conversion software to ensure proper formatting in order to be able to translate it for you. While agencies are certainly equipped to do this for you, it may come at an additional cost for the time involved. Sending the document in an editable format from the onset of the project is often the best choice. When in doubt, however, please check with the project manager associated with your translation.
